The position administrates and processes to keep and maintain the flow of all administrative duties for the Corporate Office, Business Owners, Accounting, and the Site Property Employees per due dates and when necessary and/or required.
The position duties, assignments and roles are to administrate and may not be limited to the following responsibilities and duties:
To report, inform and/or distribute all business texts, emails, and mail regarding communications via letters, forms, documents to the appropriate party in the corporate office and/or to Site Employees.
Become knowledgeable of all Properties Managed, the Clients & Employees.
Responsibilities for the Position to Include and May Not Be Limited to the Following:
Prioritizing, maintaining, and completing all regularly reoccurring and one times assignments as requested/required on due dates in an organize manner.
Confidentiality is Required with all Client, the Corporate Owners business & TEAMS Employee paperwork, and files.
Conducting work assignments and all communication to the appropriate person(s) within the company in the corporate office and/or properties, its associates, clients, vendors in a professional manner.
Ordering Office Supplies & Service Repairs for Computers/Scanners, Copiers, Postage Machine etc.
Answering Phones & Emails & Texts pertaining to Business and the duties assigned to the position and disturbing to the appropriate person(s) and obtaining direction on any unfamiliar areas, topics etc.
Filing in the Server Back Up and/or Hard Copy Files in Cabinets and/or File Boxes Filing, text, and Email appropriately and timely position duties to the appropriate party keeping and requests, inquiries and seeking direction in all areas that the position is not privy to regarding the policy or procedure.
The position does not policies or procedures that they have not been trained in or are familiar with and pertaining to employee training manuals.

Invoice gathering from properties and for corporate to input invoices into system to assist in the bookkeeping processing with accounting for the payment/checks cut and mailed.
Track and Follow-up & Gather from the properties and/or commercial tenant & Managers of properties the reporting list of items per log.
Will be trained on the log and list of items that are due and come in some:
weekly reporting, bi-monthly, monthly, quarterly & annually.
Items such as occupancy leasing reports, budget supply cost requests, move out paperwork, delinquent, market competition reports, maintenance logs and reports etc.
Will be trained, and do feel free to seek advice and direction from Corporate Supervisor on anything you are not familiar.
Collecting, Processing and Filing:
All Employee Time Sheets and Gathering new employee paperwork, existing and terminated paperwork and will be trained to know what will be sent on to our HR & Payroll vendor.
And maintain and keep accurate records for the same.
Record Tracking & Obtaining Includes:
Certificate of Insurance Logs:
Snow, NSF process, Pest Control, Water Heaters Absentee etc.
New & Existing Employees Files Paid Invoice Filing Preparing Boiler Place Retail Leases when Needed & Updating Tenant Roster of Shopping Center.
Keep updated list from properties of both Fire Alarm & Intrusion Alarm Vendors and Contact/Codes Prepare Monthly Leasing Counts per Employee and per Property from Property month end reports.
Become familiar and learn the basics to pull & able to research reports from the 3 software programs used.
Track Corporate office - Software Licensing expirations.
Alarm Companies Every three months send out an update sheet to properties, for any changes made to their services.

Experience:
- Proven experience as an administrative assistant or similar role - Proficient in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint) - Excellent organizational and time management skills - Strong attention to detail and accuracy in completing tasks - Ability to handle multiple priorities and meet deadlines - Excellent verbal and written communication skills - Knowledge of office procedures and basic accounting principles is a plus:

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
